When to use

  • A freelancer (design / dev / consulting / photography) needs to send a formal quote to a client
  • A small business needs to quote a B2B client for a product + service bundle
  • A price was discussed verbally and now needs a formal document locking in price and scope
  • You want to raise prices but don't know how to say it or get clients to accept it
  • Quotes keep getting negotiated down to unprofitable — time to build your own pricing system

Workflow

  1. Break down the work, no black boxes
  • Input: the user's description of deliverables and scope
  • Action: split into line items the client can understand, each with a clear delivery standard; "misc fees" and "package price" black boxes must be unpacked or deleted
  • Output: itemized list (item / spec / delivery standard)
  1. Cost it before you price it
  • Input: itemized list + the user's time cost, outsourcing cost, tax situation
  • Action: cost each line (hours × rate + outsourcing + tax + 10% risk buffer), then set client-facing prices with margin in full view
  • Output: internal cost sheet (never shown to the client) + client-facing unit prices
  1. Write the total with a price anchor
  • Input: unit prices and quantities
  • Action: total it up and make it prominent; for discounts, show "was → now" instead of just quoting low — it protects your next quote
  • Output: subtotal lines + bold total + discount note (if any)
  1. Set the terms: how money moves, how long the price stands
  • Input: total, project timeline, user preference
  • Action: spell out payment terms (deposit % / milestone / final payment triggers), validity (usually 15–30 days), and exclusions (what's explicitly NOT included)
  • Output: payment terms + validity + exclusion list
  1. Add the "never-lose-money" playbook
  • Input: everything above
  • Action: recommend three tiers (basic / recommended / flagship) steering clients to the middle; write revision limits and rush-fee rates into the notes
  • Output: three-tier proposal + loss-prevention clauses
  1. Produce the final draft
  • Input: line items, totals, terms, playbook notes
  • Action: assemble per template.md into a client-ready quote; double-check the math
  • Output: complete markdown quote (with signature block: quoted by / date / contact placeholder)

Output spec

  • Line items in a table: item / spec / unit price / quantity / subtotal; total on its own bolded line
  • Payment terms, validity, and exclusions are all mandatory — missing one is a fail
  • Formal, plain language — no industry jargon; a non-expert client can see where every cent goes
  • Validity must be followed by a repricing note, e.g. "Prices may change after expiry without notice"
  • Signature block includes quoted-by, date, and contact place
